Line Items

Line Items are created for Quotes, Sales Invoices and Purchase Invoices.

There are 2 types of Line Items.

  • Product Line Items : These items are selected for Quotes or Sales Invoices from existing Products. These are not available on Purchase Invoices.
  • Custom Items: In cases when a business process requires to bill an item that is not a part of your company's products, you can create a Custom Item.

Note: By default, both the Product and Custom line items are displayed on invoices and quotes. If you only plan to use one or the other, they can be removed from the Detail and Detail (Small) views using the Layout Manager for the Invoice and Quote entities.

Product line items use the Products field and custom line items use the Custom Items field. Add or remove one of these fields using the Layout Manager as required.

Product line items do NOT support type down search on the Product field.

Creating Line Items

Line Items are created from the parent Sales Invoice, Purchase Invoice or Quote.

Note: There is no separate menu item to access Line Items. They can only be accessed as a child record of either invoices or quotes.

  • In Invoices/Quotes, scroll down to Line Items list view.
  • Press the + symbol too add a new line item.
  • Select the Product record or enter appropriate fields for Custom Items
  • Press the Save button.

Users can also add/remove Line Items from existing Invoices/Quotes.

Line Item Fields

Field Description
Product Related Product or Service.
List Price Ex Tax List Price Excluding Taxes.
Discount Discount amount.
Quantity Quantity of the Products or Services being invoiced.
Total Ex Tax Total amount for the quantity of the Product or Services being invoiced.
Description Invoice Line Item Description allows for additional description to be added for the line item.
