Activity Management¶
Activity Management in Mythradon¶
Tracking interactions—calls, emails, meetings, and follow-ups—is essential for effective CRM use. Mythradon provides structured activity management to support sales, service, and relationship-building across your organisation.

How can Mythradon help?¶
Mythradon enables users to plan, track, and review interactions across the organisation. This promotes accountability, improves collaboration, and helps ensure that no important communication or follow-up is missed.
Supported Activity Types¶
By default, Mythradon supports the following activity types:
- Meetings – Scheduled appointments with participants and optional locations.
- Calls – Phone conversations or voice-based interactions, tracked by direction (inbound/outbound).
- Tasks – To-dos or actions assigned to users, often with due dates and reminders.
Related Records¶
Activities can be linked to the following standard entities:
- Accounts
- Contacts
- Leads
- Opportunities
- Cases
Each of these records includes an Activities panel in the detail view, where users can view, create, and manage related activities.
Custom entities defined as Base Plus type also support the Activities panel and can participate in the same activity tracking framework.
Note
System administrators can create custom entities of type Event.
These entities can be configured to appear in the *Mythradon* Calendar for scheduling and visibility.

Understanding Activity Types in Mythradon¶
In Mythradon, all activity types—Meetings, Calls, and Tasks—share a common set of core fields that define when, how, and with whom the activity occurs.
Common Activity Fields¶

| Name | Subject or title used to describe the activity. |
| Status | Indicates the current state. Defaults include: Planned, Held, and Not Held. Custom values can be added in the Entity Manager. |
| Direction | Identifies the flow of communication: Inbound or Outbound. |
| Start Date/Time | When the activity is scheduled to begin. |
| Duration | Length of the activity in minutes. |
| End Date/Time | Automatically calculated from the start date and duration but can be edited. |
| Parent | The record (e.g. Account, Contact) this activity is linked to. Select the entity type and then choose the related record. |
| Reminders | Optional alerts via popup or email before the activity starts. |
| Description | Additional context or notes about the activity. |
| All Day | Marks the activity as spanning an entire day. |
Meetings¶
Use Meetings to schedule interactions involving multiple participants. Meetings:
- Can include Users, Contacts, and Leads as attendees
- Support in-app reminders for all attendees
- Are suited for longer discussions, planning sessions, or presentations
Calls¶
Calls represent inbound or outbound telephone conversations. Like Meetings, they:
- Support multiple attendees
- Include direction (
Inbound/Outbound) - Are typically shorter in duration (up to 2 hours)
Tasks¶
Tasks are individual actions or to-dos assigned to a specific user. Tasks:
- Do not have attendees
- Can be related to any supported entity
- Support attachments and due dates
- Are ideal for follow-ups, internal actions, or reminders
Activities in Mythradon¶
Mythradon supports three core activity types by default:
- Meetings
- Calls
- Tasks
These activities can be linked to entities such as Accounts, Contacts, Leads, Opportunities, and Cases. All of these include an Activities panel. Custom entities of type Base Plus also support this panel.
To help you get started, here's a breakdown of how each activity type works and how they appear in the calendar:
Meetings & Calls¶
Meetings and Calls allow scheduling of events with multiple attendees, including Users, Contacts, and Leads. Each attendee can set an acceptance status: Accepted, Tentative, or Declined. Invitation emails can be sent using the Send Invitations button; recipients respond via email links. Templates for invitations can be customised at:
- Administration | Template Manager | Invitation :: Call
- Administration | Template Manager | Invitation :: Meeting
Reminders can be sent via popup (in-app) or email, and apply to the Assigned User and any listed in the Users Attendee field.
Default Duration for Meetings and Calls can be configured by system administrators and developers using the Entity Manager
Differences Between Meetings and Calls:

Tasks¶
Tasks are simple, user-assigned activities with optional Date Start and Date Due fields (with or without time values). Unlike Meetings and Calls, Tasks have:
- No attendees
- Support for attachments
- Optional reminders (visible only if Date Due is filled)

Scheduler¶
The Scheduler Panel helps identify available time slots across users when scheduling Meetings, Calls, or custom event-type entities.
The Scheduler Panel can be enabled or disabled using the Layout Manager

Calendar¶
The Calendar in Mythradon shows Meetings, Calls, Tasks, and any custom Event-type entities added by a system admin. Calendar views include:
- Month
- Week
- Day
- Timeline
Users can:
- Add a calendar to their dashboard
- View another user's calendar (if permissions allow)
- Click the date range title to refresh calendar events
Shared Calendar Views¶
Users can create shared calendar views by team. These:
- Display events of users within the selected team
- Do not include events simply assigned to the team unless a specific team member is assigned
Timeline view supports viewing events across multiple users.
Note
Role-based permissions are required to use shared calendars. Set User Permission to team or all in Roles.
Custom Entities in Calendar¶
System administrators can create Event-type custom entities, then enable them in the calendar via:
Administration → Settings → Activities
These custom entities will then appear alongside core activity types.
