Admin Password Reset

There are several different ways to reset the Users password depending on your need:

This method allows System Administrators to send an email to the User with a link that the User can use to reset their own password.

To manually send an email to allow the user to generate a new password:

  1. Open the individual User record.
  2. Confirm the Is Active field is selected.
  3. Click Send Password Change Link.

  1. A prompt will appear:

An email with a unique link will be sent to the user allowing them to change their password. The link will expire after a specific amount of time.

  1. Click Send to proceed.
  2. The user will receive an email containing a link to a page that will allow them to create a new password.

Email Template

This option uses the Password Change Link template.


Option B – Send Password Reset Email

This method allows System Administrators to securely generate a new password and send it directly to the user via email, without viewing the password themselves.

To manually generate a new password for a user:

  1. Open the individual User record.
  2. Confirm the Is Active field is selected.
  3. Click Generate New Password button.

  1. A prompt will appear:

A new password will be generated and sent to the user's email address.

  1. Click Yes to proceed.
  2. The user will receive an email with full login instructions including new system generated password.

Note

This email is sent using the Template Manager - Access Info.

Active Status Required

The system will only send the password email if the user:

  • Has a valid email address, and
  • The Is Active checkbox is selected (user is active).


Option C – Generate a Temporary Password

To manually generate a new password for a user:

  1. Open the individual User record.
  2. Confirm the Is Active field is selected.
  3. In the Password section, click the Generate button.
  4. Optionally, select Send Email with Access Info to User to notify the user.
  5. Click Save to complete the update.

Password Visibility

When you generate a password using this method, the system will temporarily display the password to the System Administrator.

This is intended for situations where the password must be shared directly—such as over the phone.

Since this introduces a potential security risk, it is recommended that you clearly inform the user this is a temporary password, and they should reset it immediately after logging in.

You can include this instruction in the email by using the Access Info email template. This template is managed in the Template Manager - Access Info.
